Stakeholders Explorer Option

The Stakeholders explorer option enables you to link stakeholders to the current entity (such as a call, request, task, agreement, person or location).

Adding a Stakeholder

Before you start

You must have Stakeholders Write selected in the Options tab of your IPK Management Security Role to add or edit stakeholder information related to calls.

You must have Request Stakeholders Write selected in the Requests tab of your Workflow Management Security Role to add or edit stakeholder information related to requests.

You must have CMDB Item Stakeholders Write selected in the CMDB Items tab of your Configuration Management Security Role to add or edit stakeholder information to CMDB items.

You must have Person Stakeholder Write selected in the People tab of your Configuration Management Security Role to add or edit stakeholder information to person records.

You must have Oganization Stakeholder Write selected in the Organizations tab of your Configuration Management Security Role to add or edit stakeholder information to organization records.

You must have Location Stakeholders Write selected in the Locations tab of your Configuration Management Security Role to add or edit stakeholder information to location records.

You must have Contract Stakeholder Write selected in the Contracts tab of your Configuration Management Security Role to add or edit stakeholder information to contracts.

You must have Subscriber Group Stakeholder Write selected in the Subscriber Groups tab of your Configuration Management Security Role to add or edit stakeholder information to subscriber groups.

You must have Cost Center Stakeholder Write selected in the Cost Centers tab of your Configuration Management Security Role to add or edit stakeholder information to cost centers.

You must have Agreement Stakeholder Write selected in the Options tab of your SLM Security Role to add or edit stakeholder information relating to agreements.

  1. From the Details window, select the Stakeholders explorer option. This normally appears within the Data group. Expand the group if necessary.
  2. The <entity> Stakeholders window appears. Select the button on the toolbar if necessary to activate the fields within the window.
  3. At Stakeholder Type, use the drop-down list to select the type of stakeholder you want to add to the entity:
    • Person to add a User, analyst or external contact as a stakeholder
    • Organization to add an organization or external supplier as a stakeholder
    • IPK Group to add an IPK group as a stakeholder
    • Workflow Group to add a Workflow group as a stakeholder
  4. The selection will display the relevant search window. If you want to include entities that have been deleted, select the Include Deleted checkbox.
  5. Select Add. Depending on your selection, the relevant Search window opens. Search for the stakeholders you want to associate with the current entity.
    • If you selected Person or Organization, the relevant Search window appears. Specify your search criteria, and click Search.

    • If you selected IPK Group or Workflow Group, the Group Quick Search window appears with a list of groups. Select the required group(s) from the search results.

  6. Select the required stakeholder from the search results, either by double clicking or selecting the entry on the browse table and then selecting .
  7. In the pop up dialog box, select a Stakeholder Role. Your system administrator will have defined stakeholder roles for each entity type to which you can link stakeholders. The stakeholder role can be used to denote the purpose of the stakeholder, such as a business owner. Select OK to save the selection and close the dialog box. The selected items are linked to the entity as stakeholders and displayed in the browse table.

Viewing the Details of a Stakeholder

Before you start

You must have Stakeholders View selected in the Options tab of your IPK Management Security Role to add or edit stakeholder information related to calls.

You must have Request Stakeholders View selected in the Requests tab of your Workflow Management Security Role to view stakeholder information related to requests.

You must have CMDB Item Stakeholders View selected in the CMDB Items tab of your Configuration Management Security Role to view stakeholder information to CMDB items.

You must have Person Stakeholder View selected in the People tab of your Configuration Management Security Role to view stakeholder information to person records.

You must have Oganization Stakeholder View selected in the Organizations tab of your Configuration Management Security Role to view stakeholder information to organization records.

You must have Location Stakeholders View selected in the Locations tab of your Configuration Management Security Role to view stakeholder information to location records.

You must have Contract Stakeholder View selected in the Contracts tab of your Configuration Management Security Role to view stakeholder information to contracts.

You must have Subscriber Group Stakeholder View selected in the Subscriber Groups tab of your Configuration Management Security Role to view stakeholder information to subscriber groups.

You must have Cost Center Stakeholder View selected in the Cost Centers tab of your Configuration Management Security Role to view stakeholder information to cost centers.

You must have Agreement Stakeholder View selected in the Options tab of your SLM Security Role to view stakeholder information relating to agreements.

  1. From the Details window, select the Stakeholders explorer option. This normally appears within the Data group. Expand the group if necessary.
  2. The <entity> Stakeholders window appears, with all linked stakeholders displayed in a browse table. You can filter the columns using the button. This displays the Configure Column window in which you can select different columns to include in the browse table for your login.
  3. Select the stakeholder you want to view and then select Open or .

Unlinking a Stakeholder

You can unlink a stakeholder from an entity. Note that although the button is called "Delete", you are not deleting the stakeholder entity, just unlinking it.

  1. From the Details window, select the Stakeholders explorer option. This normally appears within the Data group. Expand the group if necessary.
  2. The <entity> Stakeholders window appears, with a browse table listing all of the stakeholders linked to the entity.
  3. Select .
  4. Confirm the action when you are prompted.

Emailing Stakeholders

Before you start

You must have Stakeholders Write selected in the Options tab of your IPK Management Security Role to email stakeholders related to calls.

You must have Request Stakeholders Write selected in the Requests tab of your Workflow Management Security Role to email stakeholders related to requests.

You must have CMDB Item Stakeholders Write selected in the CMDB Items tab of your Configuration Management Security Role to email stakeholders related to CMDB items.

You must have Person Stakeholder Write selected in the People tab of your Configuration Management Security Role to email stakeholders related to person records.

You must have Oganization Stakeholder Write selected in the Organizations tab of your Configuration Management Security Role to email stakeholders related to organization records.

You must have Location Stakeholders Write selected in the Locations tab of your Configuration Management Security Role to email stakeholders related to location records.

You must have Contract Stakeholder Write selected in the Contracts tab of your Configuration Management Security Role to email stakeholders related to contracts.

To email a particular stakeholder, select the stakeholder added in the Stakeholders window, and then select .

To email all stakeholders added in the Stakeholders window, select .

The stakeholders to whom you want to send an email must have a valid email address specified in the system.

Any stakeholders linked to a CMDB item for which a call or request has been logged are not carried over as stakeholders on this call. Stakeholders define a relationship between the call or request and various parties, and are associated with the call when they are manually added. Other than email, organization stakeholders have other uses such as displaying additional departments to the one specified in the Organization field on the call, or when configuring your system.
